Service Location:
Parents agrees to have the child at the location specified by the tutor for services to be provided in various subjects:
The tutoring sessions will occur on various days and times between Monday – Friday, from 3:00 p.m. until 8 pm
(These days and times are subject to change.)
The duration of each session will be no longer than 60 minutes per session.
Payment Terms:
- Payment Schedule: Payment for tutoring services is due prior to services being rendered. The exact payment schedule should be agreed upon and clearly outlined in the tutoring agreement. (terms are subject to change)
- Accepted Payment Methods: Payments can be made via cash, online payments, grants.
- Late Payment Policy: Late payments may incur a late fee of $25.00 if not received by the due date.
- Credit Card of File: All parents must have a credit card on file.
- Refunds: There are no refunds for paid services.
- Communication on Payments: Both parties should communicate openly and promptly regarding any concerns, issues, or discrepancies related to payments. If there are concerns about payment, they should be addressed and resolved in a timely manner.
- Changes to Payment Terms: Any changes to the payment schedule or terms should be communicated in writing and agreed upon by both parties in advance.
- Termination of Services Due to Non-Payment: In the event of consistent non-payment or default, the tutoring provider reserves the right to suspend or terminate tutoring services until outstanding payments are settled.
- Dispute Resolution: If there are disputes regarding payments or invoices, both parties agree to discuss the matter in good faith to reach a resolution before escalating the issue further.
- Confidentiality: All financial information and transactions between the tutor and the student's parents or guardians will be kept confidential.
Cancellation Policy
- Advance Notice Requirement: Cancellations or rescheduling of tutoring sessions must be communicated with at least 24 hours advance notice. A 50% charge will be applied for cancellation within 24 hours.
- Communication Method: Cancellations should be communicated directly to the tutor and tutoring provider via phone call, text, or email.
- Exceptions for Emergencies or Illness: In case of sudden emergencies, illness, or unforeseen circumstances preventing the student from attending a session, the tutor provider may waive the cancellation notice requirement. However, timely communication is essential.
- Makeup Sessions: the parent is responsible for scheduling a makeup session in the event of a missed session at a time convenient for the tutor. Make-up sessions are not guaranteed.
- Missed Sessions: If the student or their parent/guardian cancels a session without adequate notice or fails to attend a scheduled session without notification (a "no call, no show"), the missed session will be chargeable without the possibility of a makeup session.
- Consistent Rescheduling: If rescheduling or cancellations become a consistent occurrence without valid reasons, the tutor provider reserves the right to reconsider the tutoring arrangement, including potential changes in the number of sessions or termination of services.
- Refunds for Canceled Sessions: There are no refunds for canceled sessions.
- Acknowledgment and Agreement: Both the tutor provider, the tutor, and the student's parent/guardian should acknowledge and agree to this cancellation policy in writing as a part of the tutoring agreement.
"No Call, No Show" Policy:
- Notification Requirement: Parents are required to notify the tutor and service provider at least 24 hours in advance if they are unable to attend a scheduled tutoring session.
- Communication: Parents must provide a valid reason for the absence and reschedule the missed session in a timely manner. The notification should be made via an agreed-upon communication method (email, phone call, text, etc.).
- Consequences of "No Call, No Show":
a. First Offense: Upon the first occurrence of a "no call, no show," the parent will be issued a warning and expected to reschedule the missed session. (See: Make up session & Missed session)
b. Subsequent Offenses: Repeat offenses may result in corrective action, reduction in scheduled sessions, or potential termination of the tutoring contract.
- Exceptional Circumstances: In case of unforeseen emergencies or exceptional circumstances that prevent the parent and student from giving prior notice, the parent must communicate as soon as possible. The service provider will determine if the circumstance is considered “Exceptional.”
- Refunds for “No Call, No Show”: There are no refunds for no call, no show sessions.
- Professionalism and Accountability: Parents are expected to uphold professional standards and understand the impact of their absence on the student's learning. Regular attendance and reliability are key components of a successful tutoring relationship.
Parent Responsibilities
- Communicate Student's Needs: Clearly convey the academic needs, learning goals, and any specific areas where the student requires assistance to the tutor.
- Selecting a Suitable Tutor: Take part in the selection process to ensure the chosen tutor has the appropriate qualifications, experience, and expertise in the subject area or areas that the student needs help with.
- Schedule Coordination: Coordinate and agree upon a suitable schedule for tutoring sessions that aligns with the student's availability and other commitments.
- Provide Necessary Materials: Ensure the student has access to relevant study materials, textbooks, and resources required for the tutoring sessions.
- Respect Tutor's Time: Ensure the student is punctual and prepared for each session. Respect the tutor's time by starting and ending sessions on time.
- Payment and Financial Responsibilities: Adhere to the agreed-upon payment schedule and method as outlined in the tutoring contract. Promptly settle payments for the services rendered by the tutor.
- Encourage Respect and Engagement: Encourage the student to treat the tutor with respect and engage actively during the sessions.
- Maintain Communication: Maintain open and regular communication with the tutor regarding the student's progress, any concerns, or changes in the student's academic needs.
- Feedback and Assessment: Provide constructive feedback and collaborate with the tutor to assess the student's progress. Address any concerns or suggestions for improvement in a respectful and timely manner.
- Cancellations and Rescheduling: Adhere to the agreed-upon cancellation policy and provide the required notice for canceling or rescheduling sessions. Respect the tutor's time and schedule.
- Understand Termination Procedures: Understand the procedure for terminating the tutoring services and adhere to the agreed-upon notice period outlined in the contract, if necessary.
- Support Student's Learning: Encourage the student's learning journey by reinforcing concepts covered in tutoring sessions and providing academic support as needed.
- Maintain Confidentiality: Respect the confidentiality of the tutor-student relationship and any information shared during the tutoring sessions.
Student Responsibilities:
- Attending all schedule tutoring sessions
- Arrive on time for all scheduled sessions.
- Contact the tutor no less than 24 hours in advance if unable to attend a scheduled session.
*Students who miss a scheduled session without notifying the tutor will be marked as “no-show.”
*Student who have 2 no shows or repeated cancellations may be dropped from the program
- Bring textbooks, homework, notes, pen/pencil, and other necessary materials to each session.
- Participate actively in aspects of the session.
Student Termination Policy:
Students can be terminated from a tutoring program for various reasons without notice. This will be determined by the tutor provider and the tutor. Listed below are reasons why a student might be terminated from the tutoring program:
- Lack of Attendance: If a student consistently fails to attend tutoring sessions without a valid reason, the program may terminate their enrollment. Regular attendance is usually essential for effective tutoring.
- Disruptive Behavior: Students who exhibit disruptive or disrespectful behavior during tutoring sessions may be removed from the program to maintain a productive learning environment for others.
- Academic Dishonesty: If a student is found to be cheating or engaging in academic dishonesty during tutoring sessions or in their coursework, it can lead to termination from the program.
- Failure to Meet Program Requirements: Some tutoring programs have specific requirements that students must meet to remain enrolled. This could include maintaining a certain GPA, completing assignments, or meeting other academic expectations. Failure to meet these requirements may result in termination.
- Non-Payment: Failure to make payments or fulfill financial obligations may lead to termination.
- Violation of Program Policies: Students are typically expected to adhere to the rules and policies set by the tutoring program. Violating these policies, such as plagiarism, harassment, or other misconduct, can result in termination.
- Lack of Progress: If a student is not making sufficient academic progress despite receiving tutoring, the program may evaluate whether continued participation is beneficial. In some cases, a student might be terminated to explore alternative educational approaches.
- Incompatibility with Tutor: If a student and their assigned tutor are not having a productive working relationship due to personality clashes or other issues. In such cases, a change in tutors or termination from the program might be considered.
- Non-Cooperation: Students are expected to actively engage and cooperate with tutors. Non-cooperation, resistance to learning, or refusal to follow the tutor's guidance may lead to termination.
- Safety Concerns: In rare cases, if a student poses a safety risk to themselves or others within the tutoring environment, the program may need to terminate their participation for the well-being of all involved.
Cancellations: Either party must provide at least 24 hours’ notice in case of cancellation or rescheduling of a tutoring session. This includes illness and inclement weather.
Liability: The Tutor shall not be liable for any academic outcomes or guarantees regarding the student’s performance. The Tutor is responsible for delivering agreed-upon tutoring services but cannot guarantee specific results or improvements in the student’s performance.
Confidentiality: Both parties agree to maintain confidentiality regarding any information shared during tutoring sessions.
Agreement Termination: Either party may terminate this agreement with 7 days’ written notice.
This agreement constitutes the entire understanding between the parties concerning tutoring services and supersedes all prior agreements.
